1. About this policy
This Privacy Policy explains how ARCH — Algoma Residential Community Hospice ("ARCH", "we", "us", "our") collects, uses, discloses and protects personal information in connection with the ARCH 50/50 electronic raffle operated at arch5050.ca (the "Raffle").
ARCH conducts and manages the Raffle under Lottery Licence #RAF1553954 issued by the Alcohol and Gaming Commission of Ontario (AGCO). We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and its ten fair information principles.
This policy applies to arch5050.ca and to the raffle management platform operated on our behalf by ASCEND Fundraising Solutions. It does not apply to archhospice.ca, which is governed by a separate privacy policy.
2. Accountability and our Privacy Officer
ARCH is responsible for the personal information under its control. We have designated a Privacy Officer who is accountable for our compliance with this policy and with PIPEDA.

We require our service providers to protect personal information to a comparable standard through written contractual commitments.
3. Information we collect
We collect only the personal information necessary for the purposes described in this policy.
When you purchase a ticket:
- Full name
- Email address
- Mailing address
- Telephone number
- Date of birth or age confirmation (to verify you are 18 or older)
- Payment card details, processed directly by our payment processor — ARCH does not store full card numbers
- Your device's approximate geographic location, to confirm you are in Ontario at the time of purchase
Automatically, when you visit the site:
- IP address
- Browser type, device type and operating system
- Pages viewed, time spent and referring website
- Cookie identifiers (see our Cookie Policy)
If you subscribe to updates:
- Email address and, where provided, your name and communication preferences
We do not knowingly collect personal information from anyone under 18 years of age. If we learn that we have collected such information, we will delete it.
4. Why we collect it
We collect, use and disclose personal information for the following purposes:
- To sell you raffle tickets and issue your ticket confirmation and numbers
- To verify that you are 18 years of age or older, as required by the AGCO
- To verify that you are located in Ontario at the time of purchase, as required by the AGCO
- To conduct draws, identify winners, contact winners and award prizes
- To process payments and issue refunds where applicable
- To meet our record-keeping, audit and reporting obligations to the AGCO and the Canada Revenue Agency
- To respond to your questions and provide customer support
- To send you information about future ARCH 50/50 draws, where you have consented or where the law otherwise permits
- To operate, secure and improve arch5050.ca
- To detect and prevent fraud and prohibited activity
We will not use your personal information for a new purpose without first identifying that purpose and obtaining your consent, unless the law requires or permits otherwise.
5. Consent
By purchasing a ticket, you consent to the collection, use and disclosure of your personal information for the purposes set out in this policy.
Where we ask for your consent to receive marketing emails, that consent is given through a separate, unchecked opt-in box. It is never bundled with your purchase.
You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice. Withdrawing consent to the collection of purchase information means we can no longer sell you tickets, because we cannot meet our licensing obligations without it. Withdrawing consent to marketing emails does not affect your existing tickets or your eligibility to win.
To withdraw consent, contact our Privacy Officer or use the unsubscribe link in any email we send you.
6. Who we share it with
We share personal information only as described below, and only to the extent necessary.
- ASCEND Fundraising Solutions — operates the AGCO-registered electronic raffle system on our behalf, including ticket issuance and draw management
- Payment processors — process your payment card transaction
- Email service providers — deliver transactional and, where consented, marketing messages
- Analytics and advertising providers — Google LLC, in connection with Google Analytics and Google Ads (see our Cookie Policy)
- The AGCO and other regulators — where required for licensing, audit or investigation
- Professional advisors — auditors and legal counsel, under a duty of confidentiality
If you win a prize, we may publish your name and the community you live in as part of the public announcement of results, as required to conduct the Raffle transparently. We will confirm this with you before publication.
We do not sell, rent or trade personal information. We do not sell, barter or lease donor, membership or other fundraising lists.
7. Information processed outside Canada
Some of our service providers, including analytics and payment providers, store or process personal information outside Canada, including in the United States.
While your personal information is in another country, it is subject to the laws of that country. This means it may be accessed by the courts, law enforcement agencies and national security authorities of that jurisdiction under the laws in force there.
We use contractual and other means to require these providers to protect your personal information to a standard comparable to the protection it receives in Canada. If you would like more information about our practices in this area, contact our Privacy Officer.
8. How long we keep it
We keep personal information only as long as necessary to fulfil the purposes for which it was collected and to meet our legal, licensing, audit and tax obligations.
- Ticket purchase and draw records: retained for the period required by the AGCO and the Canada Revenue Agency (at least six years)
- Prize claim records: retained for at least six months from the date the prize was awarded, and longer where required for audit
- Marketing contact records: retained until you unsubscribe, and for a reasonable period after that to honour your unsubscribe request
- Website analytics data: retained for 14 months
When personal information is no longer needed, we destroy, erase or de-identify it securely.
9. How we protect it
We maintain physical, organizational and technological safeguards appropriate to the sensitivity of the information, including:
- Encryption of data in transit using TLS across the entire site
- Payment card processing by a PCI DSS compliant provider; ARCH does not store full card numbers
- Access limited to staff and service providers who need it to do their jobs
- Confidentiality obligations for staff, volunteers and service providers
- An electronic raffle system reviewed and approved by AGCO Technical and Laboratory Services
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Privacy breaches
If a breach of our security safeguards creates a real risk of significant harm to you, we will report the breach to the Office of the Privacy Commissioner of Canada and notify you as soon as feasible. We maintain records of all security safeguard breaches for at least 24 months.
11. Your rights
You have the right to:
- Ask whether we hold personal information about you, and to be given access to it
- Ask us to correct information that is inaccurate or incomplete
- Withdraw your consent, subject to the limits described in section 5
- Ask questions about our privacy practices
- Make a complaint about our compliance with this policy
To exercise any of these rights, contact our Privacy Officer. We will respond within 30 days. We may ask you to verify your identity before we act on a request. In limited circumstances permitted by PIPEDA we may not be able to provide access — for example, where doing so would reveal personal information about another person. If we refuse a request, we will explain why.
There is no charge for a routine access request.

13. Email communications
We send two kinds of email:
- Transactional messages — ticket confirmations, draw results and prize notifications. These are necessary to deliver what you purchased, and you cannot unsubscribe from them while you hold an active ticket.
- Promotional messages — information about upcoming draws. You receive these only where you have given express consent, or where Canada's Anti-Spam Legislation otherwise permits us to contact you.
Every promotional email identifies ARCH as the sender, includes our mailing address and contains an unsubscribe mechanism that remains functional for at least 60 days. We action unsubscribe requests within 10 business days.
14. Third-party links
Our site links to third-party websites, including archhospice.ca, connexontario.ca and our social media pages. We are not responsible for the privacy practices of those sites. Review their privacy policies separately.
15. Changes to this policy
We may update this policy. The effective date at the top shows when it last changed. Material changes will be announced on arch5050.ca. Continuing to use the site after a change means you accept the updated policy.
